2. Collection and storage of personal data as well as type and purpose of their use

a) When visiting the website

When you visit our website, the browser on your device automatically sends information to the server on our website. This information is temporarily stored in a so-called log file. The following information is recorded without your intervention and stored until it is automatically deleted:

  • Date and time of the request
  • Time zone difference to Greenwich Mean Time (GMT)
  • Content of the request (specific page)
  • Access Status/HTTP Status Code

The legal basis for data processing is Art. 6 para. 1 sentence 1 lit. f DSGVO. Our legitimate interest follows from the purposes listed above for data collection. Under no circumstances do we use the data collected for the purpose of drawing conclusions about you personally.

In addition, we use cookies and analysis services when you visit our website. You will find more detailed explanations under sections 5 and 7 of this data protection declaration.

b) When registering for our newsletter

If you have expressly consented according to Art. 6 para. 1 sentence 1 a DSGVO, we will use your e-mail address to send you our newsletter on a regular basis. To receive the newsletter it is sufficient to provide an e-mail address.

You can unsubscribe at any time, for example via a link at the end of each newsletter. Alternatively, you are welcome to send your unsubscription request at any time to marketing@docufy.de  by e-mail.

c) When using our contact form

If you have any questions, we offer you the opportunity to contact us using the form provided on the website. A valid e-mail address is required so that we know who sent the request and can respond to it. Further information can be provided voluntarily.

The data will be processed for the purpose of contacting us in accordance with Art. 6 para. 1 sentence 1 lit. a DSGVO on the basis of your voluntary consent.

The personal data collected by us for the use of the contact form will be automatically deleted after your request has been processed.

d) Application for test access to DOCUFY Machine Safety

We would be pleased to provide you with a test account for our product DOCUFY Machine Safety. For the activation we need the personal data provided by you. After successful testing you will receive the access data to our test system. The data will be processed for the purpose of contacting us pursuant to Art. 6 para. 1 sentence 1 lit. a DSGVO on the basis of your voluntary consent and Art. 6 para. 1 sentence 1 lit. B DSGVO for the fulfilment of a contract, namely the provision of our test system on the basis of your request. After and during the test phase we are of course at your disposal. We will also contact you during the test phase and offer our support. If no long-term business relationship is established after the test phase, we will of course delete your contact details unless you instruct us to stay in touch with you.

e) When registering for our events, trainings and seminars

We use the data from the registration form to organise your registration for our events. The data will be deleted from our system after legal retention periods have expired. The legal basis for this processing activity is Art. 6 para. 1 p. 1 lit. b) DSGVO, the fulfilment of a contract, in this case the planning and implementation of the event (also trainings and seminars).

Following the successful participation in our seminar, we will inform you about comparable activities on our part via customer information by electronic means (by e-mail). The legal basis for this processing activity is Art. 6 para. 1 sentence 1 lit. f) DSGVO, our legitimate interest. A link to object to this processing activity is included in each information sent by us. Furthermore, you can send an effective objection to the contact details published in the imprint or to marketing@docufy.de.

f) When using the web-based product DOCUFY Layouter

When using the web-based product DOCUFY Layouter, your e-mail address and your first and last name are collected and processed as login data. In addition, data is collected as described in section 2 a) and processed for the purposes stated above.
The legal basis for the data processing is Art. 6 para. 1 p. 1 lit. b DSGVO.
In addition, we use cookies and analysis services when using DOCUFY Layouter. You can find more detailed explanations of this under points 5 and 6 of this data protection declaration.

3. Information Disclosure

Your personal data will not be transmitted to third parties for purposes other than those listed below.

We will only pass on your personal data to third parties if:

  • you have given your consent pursuant to Art. 6 para. 1 sentence 1 lit. a DSGVO,
  • disclosure is necessary to assert, exercise or defend legal claims pursuant to Art. 6 para. 1 sentence 1 f DSGVO and there is no reason to assume that you have an overriding interest worthy of protection in not disclosing your data,
  • in the event that a legal obligation exists for the transfer pursuant to Art. 6 para. 1 sentence 1 lit. c DSGVO, or
  • this is legally permissible and is necessary for the processing of contractual relationships with you in accordance with Art. 6 para. 1 sentence 1 lit. b DSGVO.

4. Unsolicited Applications

You are welcome to send us unsolicited applications. Please ensure yourself sufficient security for the transmission path you have chosen. Sending an e-mail without a suitable encryption method is not recommended, as your data could then be read and used by unauthorized persons without great effort. If you would like to send us an encrypted e-mail with application documents, please use only the e-mail address jobs@docufy.de.

5. Cookies

We use cookies on our site. These are small files that your browser automatically creates and that are stored on your device (laptop, tablet, smartphone, etc.) when you visit our site. Cookies do no damage to your end device, do not contain viruses, Trojans or other malware.

Information is stored in the cookie that is connected with device you use. However, this does not mean that we become aware of your identity.

On the one hand we use cookies to make our website more enjoyable for you. For example, we use so-called session cookies to recognize that you have already visited individual pages of our website. These will be deleted automatically after leaving our site.

In addition, we also use temporary cookies that are stored on your device for a specified period of time to optimize user-friendliness. On the other hand, we use cookies to statistically record the use of our website and to evaluate it for you for the purpose of optimising our Website (see Section 5). 6. Integration of Google Maps

On this website we use Google Maps. This allows us to display interactive maps directly on the website and enables you to conveniently use the map function.

By visiting the website, Google receives the information that you have called up the corresponding subpage of our website. In addition, the data specified in § 2 of this declaration will be transmitted. This is regardless of whether Google provides a user account that you are logged in with or whether no user account exists. If you are logged in to Google, your information will be directly associated with your account. 7. integration of YouTube videos

(1) We have integrated YouTube videos into our online offer, which are stored on www.YouTube.com and can be played directly from our website. These are all integrated in the "extended data protection mode", i.e. no data about you as a user will be transmitted to YouTube if you do not play the videos. Only when you play the videos will the data referred to in paragraph 2 be transmitted. We have no influence on this data transmission.

8. Rights Concerned

You have the right:

  • to request information about your personal data processed by us in accordance with Art. 15 DSGVO. In particular, you may request information about the purposes of processing, the category of personal data, the categories of recipients to whom your data have been or will be disclosed, the planned storage period, the existence of a right to rectification, deletion, restriction of processing or objection, the existence of a right of appeal, the origin of your data, if these have not been collected by us, and the existence of automated decision-making including profiling and, if applicable, meaningful information on their details;
  • to immediately request the correction of incorrect or complete personal data stored by us in accordance with Art. 16 DSGVO;
  • to request the deletion of your personal data stored by us in accordance with Art. 17 DSGVO, unless the processing is necessary to exercise the right to freedom of expression and information, to fulfil a legal obligation, for reasons of public interest or to assert, exercise or defend legal claims;
  • pursuant to Art. 18 DSGVO, to restrict the processing of your personal data if you dispute the accuracy of the data, if the processing is unlawful but you refuse to delete the data and we no longer need the data, but if you need it to assert, exercise or defend legal claims or if you have filed an objection to the processing pursuant to Art. 21 DSGVO;
  • pursuant to Art. 20 DSGVO, to receive your personal data that you have provided to us in a structured, current and machine-readable format or to request its transfer to another person responsible;
  • in accordance with Art. 7 para. 3 DSGVO, to revoke your consent to us at any time. As a result, we are no longer allowed to continue processing data based on this consent in the future and
  • to complain to a supervisory authority pursuant to Art. 77 DSGVO. As a rule, you can contact the supervisory authority at your usual place of residence or workplace or at our company headquarters.

9. Right of Objection

If your personal data are processed on the basis of legitimate interests pursuant to Art. 6 para. 1 sentence 1 letter f DSGVO, you have the right to object to the processing of your personal data pursuant to Art. 21 DSGVO, provided that there are reasons for this which arise from your particular situation or the objection is directed against direct advertising. In the latter case, you have a general right of objection, which we will implement without specifying a particular situation.

10. Data Integrity

We use the most common SSL (Secure Socket Layer) method in connection with the highest level of encryption supported by your browser. Usually this is a 256 bit encryption. If your browser does not support 256-bit encryption, we use 128-bit v3 technology instead. Whether a single page of our website is transmitted in encrypted form is indicated by the closed display of the key or lock symbol in the lower status bar of your browser.

We also use suitable technical and organisational security measures to protect your data against accidental or intentional manipulation, partial or complete loss, destruction or unauthorised access by third parties. Our security measures are continuously improved in line with technological developments.

This data protection declaration is currently valid and has the status as of May 2018.
